1. General provisions and acceptance
Accessing SmartArena, creating an account, or using platform services constitutes acceptance of these Terms and the related Privacy Policy. Except where mandatory law provides otherwise, these Terms govern the service relationship between the user and SmartArena.
2. Definitions
“Platform” means SmartArena web, mobile, and operational interfaces; “User” means a person using an account or public service; and “Event Administrator” means an authorized person who creates or manages an event. Organizer, federation, club, athlete, coach, referee, judge, operator, participant, competition, category, draw, scoreboard, result, podium, ticket, invitation, Voice Service, and Third-Party Service have their functional meaning in context.
3. Platform and service modules
Where enabled and configured, SmartArena may provide event creation, registration, categories, draws and brackets, schedules, ring or tatami management, operator and judge interfaces, Audience and LED outputs, results, podium, badges, cards, certificates, tickets, invitations, QR/Barcode, invoices, reports, exports, notifications, and Voice modules. Not every event uses every module.
4. Accounts, access, and security
Users must provide accurate account information, keep access credentials confidential, and promptly report unauthorized use. Transferring an account, sharing authority improperly, or bypassing security controls is prohibited; actions performed through an account may be attributed to its holder subject to applicable rules.
5. Event administrators and organizations
The Event Administrator and organizer are responsible for the accuracy of event details, dates and venue, eligibility requirements, prices and refund policy, rules, schedules, tickets and invitations, uploaded media and documents, payment configuration, and approval of official results. SmartArena is a technology platform and is not automatically the organizer of third-party events.
6. Participant data and registration
Organizers must collect only necessary registration data, verify participant eligibility, and assign athletes to the correct club, country, age, gender, weight or division, league, and category. The party submitting names, documents, contact, payment, and other information is responsible for its lawful and accurate use.
7. Competition rules, categories, draws, and schedules
SmartArena may support multiple sports and ruleset configurations, but selection and application of the correct rules remains the responsibility of the organizer and authorized officials. Automated draws, BYEs, repechage, leagues, brackets, schedules, and tatami allocation rely on configured data and must be reviewed before publication and use.
8. Scoreboard, judge, operator, and realtime services
Operator, judge, Audience, LED, and other live outputs may share the same competition state. Networks, browsers, hardware, venue infrastructure, and third-party services can affect delivery; operators must confirm official decisions, verify the correct match, and maintain appropriate contingency procedures.
9. Results, podium, and digital documents
Results, placements, podium queues, certificates, badges, and other documents are generated from authorized competition data. SmartArena provides technical presentation; authorized event officials remain responsible for sporting approval, correction, and final publication of results.
10. Tickets, invitations, and admission credentials
Depending on configuration, paid, free, and pay-at-venue tickets, VIP, protocol, or guest invitations, and QR or Barcode admission may be available. An invitation is not necessarily a ticket. Copying, unauthorized resale, or misuse of a unique credential may result in rejection or cancellation under organizer policy.
11. Payments, refunds, and invoices
Online payment is available only where enabled for the event, region, and integrated provider. SmartArena may supply payment technology and administrative documents, while the organizer and relevant provider remain responsible for prices, taxes, refunds, cancellations, settlement, and legally required invoicing.
12. SmartArena Voice and third-party integrations
Third-party providers may be used for Voice announcements, payments, maps, accommodation links, email, social login, external authentication, and cloud infrastructure. Availability depends on configuration and region; providers may change, and their outages may be outside SmartArena’s direct control.
13. Content, uploads, and intellectual property
Users must hold the necessary rights to logos, posters, photos, documents, text, and other uploaded content. Users retain ownership of their content and grant the limited permission needed to process and present it for the service; the SmartArena name, software, design, and original materials remain protected by applicable rights.
14. Personal data and privacy
Personal-data processing is governed by the separate Privacy Policy and applicable legal requirements. Organizers must provide an appropriate legal basis, notice, access control, and retention period for participant data they collect; passwords, tokens, and authentication material must never be included in exports or public presentation.
15. Availability and technical interruptions
SmartArena takes reasonable measures to operate the service securely and reliably but does not promise impossible uninterrupted or error-free availability. Planned maintenance, security events, networks, power, devices, providers, and force majeure may affect service delivery.
16. User responsibilities and prohibited uses
False registration, unauthorized access, malicious code, automated abuse, service disruption, infringement of another user’s rights, unlawful disclosure of confidential data, and manipulation of competition results are prohibited. Users must comply with law, event rules, and the limits of their authority.
17. Data accuracy and official competition decisions
Information displayed by the Platform reflects the state in which it was entered and approved. Final authority for eligibility, referee or judge decisions, winners, results, disqualification, schedules, and protocols rests with the organizer and appropriate official bodies; SmartArena does not independently decide disputed sporting outcomes.
18. Restriction, suspension, and termination
Access may be restricted or suspended for a security risk, unlawful activity, serious or repeated breach, unpaid obligations, or risk of system harm. Data retention, export, and deletion after suspension or termination are handled according to legal and technical obligations.
19. Limitation of liability and indemnification
To the extent permitted by mandatory law, SmartArena is not liable for indirect loss caused by organizer data errors, sporting decisions, device or network failure, third-party services, or unauthorized use. A user may be responsible, where legally permitted, for reasonable claims arising from that user’s unlawful content or conduct.
20. Changes to the Platform and these Terms
SmartArena may update functionality and these Terms for security, legal, technical, and service reasons. The legal update date changes only when the content changes; material updates may be communicated through an appropriate channel and take effect when the new version is published.
21. Applicable law and dispute handling
Rights granted by mandatory consumer and other laws remain unaffected. Applicable law and jurisdiction depend on the actual user, service, and legal relationship; the parties should first attempt in good faith to resolve a dispute before court or another formal procedure.
